Serv, a global executive recruitment partner, is hiring on behalf of our client, a growing wood products manufacturer based in Enderby, British Columbia, for a strategic Executive Assistant to support the Founder.

Our client operates two sawmills in Enderby, BC with a team of approximately 50 people. They manufacture quality wood products and have built a strong reputation for consistency and reliability in a tough, competitive industry.

Position Overview:

We are seeking a highly organized, proactive, and discreet Executive Assistant to support the Founder. This role is critical in ensuring the Founder’s professional and personal operations run seamlessly.

The ideal candidate thrives in a fast-paced environment, anticipates needs before they arise, and can manage both strategic and administrative responsibilities with excellence.

You will work closely with the Front Desk Coordinator, Bookkeeper, and the Founder’s Personal Assistant, acting as a central point of coordination across business and personal matters.

This role is ideally based in or around Enderby, BC. However, we are open to a fully remote candidate who is the right strategic fit. Local operational support is already in place — the priority is finding someone with the digital capability, judgment, and executive presence to operate as a true right hand to the Founder.

Position Responsibilities:

Executive Support

  • Manage and maintain the Founder’s email inbox (Outlook), including prioritization, drafting responses, and flagging urgent matters
  • Coordinate and optimize complex business and personal calendars
  • Schedule meetings, calls, travel, and appointments with precision
  • Prepare meeting agendas, materials, and follow-up action items
  • Act as gatekeeper while maintaining strong professional relationships
  • Draft polished communications in the Founder’s voice

Administrative Operations

  • Oversee daily administrative tasks to ensure operational efficiency
  • Manage documentation, contracts, and confidential records
  • Assist with reporting and document preparation
  • Coordinate internal communications between departments
  • Help build and refine systems as the company scales

Financial & Systems Support

  • Work alongside the Bookkeeper using Sage for expense tracking and financial documentation support
  • Process and reconcile expenses
  • Assist with invoice coordination and payment tracking
  • Support reporting and financial documentation as needed

Personal & Executive Coordination

  • Manage personal calendar commitments and scheduling
  • Coordinate appointments, reservations, and personal logistics
  • Support special projects and ad hoc executive requests
  • Collaborate closely with the Founder’s Personal Assistant to ensure seamless coverage

Cross-Functional Collaboration

  • Work closely with the Front Desk to manage guest experiences and meeting logistics
  • Support internal team coordination
  • Help improve administrative systems and workflows as the company grows
  • Support ongoing digital transformation and automation initiatives

Technology & Tools

  • Microsoft Outlook (Email & Calendar Management)
  • Microsoft Office Suite
  • Sage (Accounting/Financial Systems)
  • Google Suite
  • Asana, Notion, or similar project management tools
  • Comfort with digital systems and workflow automation tools

Qualifications

  • 5+ years supporting senior executives in fast-paced, high-growth, or high-performance environments
  • Proven ability to operate as a strategic partner, not just an administrative supporter
  • Mastery of organization, prioritization, and time management
  • Outstanding written and verbal communication skills
  • Strong business acumen — able to distill complex information into actionable insights
  • High proficiency in Google Suite, Asana, Notion, or similar project management tools
  • Discretion, judgment, and professionalism in handling sensitive information
  • A proactive, solution-oriented mindset with strong critical thinking skills
  • Experience in manufacturing, industrial operations, healthcare, wellness, or high-performance organizations is considered an asset

Compensation:
Competitive and commensurate with experience.
